- Contact details (eg name, address, telephone number or personal email address)
- Date of birth
- Copies of passports or other photo ID
- Employment history (eg job application, employment references or secondary employment)
- Education history (eg qualifications)
- Details of any criminal convictions (eg Disclosure Barring Service (DBS), Access NI or Disclosure Scotland checks )

Our lawful bases for the collection and use of your data
Our lawful bases for collecting or using personal information for recruitment purposes are:
- Consent – we have permission from you after we gave you all the relevant information. All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time.
- Contract – we have to collect or use the information so we can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.
- Legitimate interests – we’re collecting or using your information because it benefits you, our organisation or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability. Our legitimate interests are:
- We have a legitimate interest in collecting personal information to connect qualified candidates with potential employers. By registering with us, candidates consent to the processing of their personal information for this purpose. The personal information we collect is limited to your CV, name, contact details, language proficiency, career preferences, city of residence, notice period, and salary expectations. During interviews, candidates may voluntarily disclose health conditions that could affect their performance. Any such health information will only be processed with explicit consent and handled in accordance with applicable data protection laws.

How long we keep information
We retain candidate information for up to 12 months after registration or the last contact. For candidates who actively engage with us, data may be kept for up to 24 months to allow us to match you with suitable job opportunities. After this period, personal data is securely deleted or anonymized.

Who we share information with

- The information we may share with our clients (employers) is limited to the candidates’ CV, salary expectations, and notice period to help match candidates with suitable job opportunities. All shared information is handled securely and only for the purpose of recruitment.
- Local data processor (Madagascar): We also share limited personal data with a professional payroll and employment administration provider based in Madagascar. This is necessary to facilitate the preparation and signing of employment contracts on our behalf and to process payroll for candidates being hired in Madagascar through Havelock Recruit Ltd. The personal data shared may include identification details, contact information, employment terms, and bank details (for payroll purposes). This data processor acts solely under our instructions, signs contracts on our behalf where required, uses the data only for these specific purposes, and implements appropriate technical and organisational measures to protect your data in accordance with applicable data protection laws.
